About SharePoint Integration

SharePoint is a Microsoft invention, used to create 'websites'. You can use it as a secure place to store, organise, share, and access information from any device. All you need is a web browser, such as Microsoft Edge, Internet Explorer, Chrome, or Firefox.

Realistically, most companies don't use SharePoint to its full potential, and that's okay! In my experience, SharePoint has been used as a 'front-end' solution (i.e. go to the function's SharePoint site, and that's a hub for all of our initiatives, links, documents, etc.), but is more commonly 'back-end' (i.e. it's what sits behind Microsoft Teams).

You don't need to have a killer SharePoint to make your life simpler and easier. In fact, for most businesses, Microsoft Teams is arguably better and more natural for people to use! That said, because SharePoint underpins so much of what you can digitise and automate, it's the lynchpin for a lot of what you might need.

Let's look at some examples of who this might help and how, in your business:

  • Safety Teams - Save an image from a form to a dedicated (GDPR approved) folder, for personally identifiable information
  • Safety Teams - Send a form (e.g. pre-start check, accident, near miss, etc.) for approval to a specific individual, and record that action in a dedicated list
  • Safety Teams - Update a PowerBI dataset when a file on SharePoint is updated (e.g. if you have a form that fills in an excel sheet, you can automatically then update PowerBI - useful for large amounts of data coming in on an infrequent basis
  • HR Teams - Submit an annual leave request for manager approval, with a push notification to a phone when it becomes live
  • HR Teams - Get a push notification when a new file is added in SharePoint (e.g. a new 'return to work' has been added to a holding folder)
  • HR Teams - Notify you (or your team) and store the responses to an induction check quiz, (or to a feedback form for training, for example)
  • Operational Teams - Add a planner task, assigned to a specific individual, for a new file when it is uploaded onto SharePoint
  • Operational Teams - Request collective approval (e.g. from all shift managers) when a new policy document is uploaded into a new folder location
